Safety Equipment Procurement in the UAE and GCC: A Buyer’s Checklist

Buying safety equipment in the UAE or across the GCC starts with a clear requirement. A quotation is only useful when every supplier is pricing the same product, quantity and documentation. This checklist helps procurement teams turn a general request for “safety supplies” into a specification that can be reviewed and compared.

1. Describe the workplace and the intended use

Record where the equipment will be used: an office, warehouse, construction site, clinic, workshop or industrial facility. Include indoor or outdoor use, available storage space and relevant site conditions. Ask the responsible safety professional to identify the equipment needed from the site assessment. A product catalogue does not replace that assessment.

For projects in Abu Dhabi, check the applicable Abu Dhabi Public Health Centre codes of practice. Requirements must be checked for the actual activity and location; a general statement that a supplier is “compliant” does not establish that every item is suitable.

2. Build a comparable product schedule

Use one line per item. Include the manufacturer or acceptable equivalent, model, dimensions, material, capacity where relevant, quantity and required accessories. For first aid supplies, distinguish a stocked kit from an empty storage box. For stretchers, state whether the requirement is for a folding, scoop, basket or other specific design.

  • Product: clear name and model or intended specification.
  • Quantity: units, pack sizes and the number of delivery locations.
  • Documentation: manufacturer datasheet, instructions and any certificates specified by the project.
  • Commercial details: quote validity, payment terms, delivery scope and warranty information.

3. Ask for evidence against each claim

A brochure is a useful starting point, but ask which exact model a test report or certificate covers. Check the issuing body, document reference, scope and any expiry information. Confirm that the delivered item and packaging match the agreed model. Treat terms such as “medical grade,” “approved” or “certified” as claims to verify, rather than substitutes for documentation.

4. Plan for the delivery destination

For enquiries covering the United Arab Emirates, Saudi Arabia, Qatar, Oman, Kuwait or Bahrain, put the destination country and city in the RFQ. Identify the delivery address, site access restrictions, receiving contact and preferred date. Ask the supplier to confirm whether delivery to that destination is available and what is included.

Cross-border enquiries should also identify who will arrange transport, import clearance and any destination-specific approvals. Do not assume a quotation for collection in Abu Dhabi includes delivery to Riyadh, Doha, Muscat, Kuwait City or Manama. Have the appropriate local team confirm the requirements before placing an order.

5. Compare the complete quotation

The lowest unit price may exclude accessories, installation, replenishment or freight. Compare the total scope alongside the price. Record substitutions separately and ask for written approval before the supplier changes a specified model. If stock is urgent, request confirmation of available quantity and dispatch timing rather than relying on a catalogue stock label.

6. Agree the handover and replenishment plan

Specify what the receiving team will check: quantities, damage, model numbers, shelf-life information where relevant and the document pack. Assign an owner for inspections, replacement parts and consumable replenishment. Keep the purchase specification with the delivery record so future orders use the same reference.

A simple RFQ you can use

“Please quote for

, quantity [number], for use at [site type]. Delivery destination: [city and country]. Required documents: [list]. Please confirm availability, included accessories, delivery charges, lead time, warranty and quotation validity.”
